Terms & Conditions

Please read carefully before booking your safari

Confirming a safari with WildPulse Adventures assumes that you have read, fully understand, and accept the terms and conditions described below.

1. Bookings

1.1 WildPulse Adventures provides transport, accommodation, meals, and excursions through a network of independent suppliers. Our role is to arrange and coordinate these services on your behalf.

1.2 Itinerary information is provided in good faith as a best-effort guide. WildPulse Adventures is not liable for changes made by third-party suppliers, nor for typographical errors in published materials.

1.3 Flights and gorilla permits require your full passport name, nationality, and passport number exactly as they appear in your travel documents. It is your responsibility to ensure these details are accurate at the time of booking.

1.4 Please inform WildPulse Adventures of any medical needs, dietary requirements, or disabilities before confirming your booking. All packages are subject to availability — we recommend reserving early.

1.5 Amendments to confirmed bookings are possible where practicable. An amendment fee may apply depending on the nature and timing of the change.

1.6 WildPulse Adventures reserves the right to adjust an itinerary in unforeseen circumstances, including but not limited to adverse weather, road closures, or security concerns.

2. Prices

2.1 Prices include:

  • Accommodation as specified in the itinerary
  • Meals as indicated in the programme
  • Sightseeing, national park and ranger fees
  • Airport transfers where applicable
  • Ground transport throughout the tour
  • English-speaking driver/guides
  • Bottled water in the vehicle

2.2 Prices do NOT include:

  • International or domestic airfares (unless specifically stated)
  • Visas and entry fees
  • Meals not specified in the programme
  • Drinks beyond bottled water provided in the vehicle
  • Gratuities and tips
  • Laundry services
  • Travel insurance
  • Personal items and incidentals

2.3 Prices are subject to change until confirmed in writing by WildPulse Adventures.

2.4 Prices may be adjusted to reflect significant exchange-rate fluctuations or increases in operating costs beyond our reasonable control.

3. Execution of the Tour

3.1 Wildlife sightings cannot be guaranteed. East Africa's ecosystems are wild and unpredictable, and animal behaviour is beyond our control.

3.2 A gorilla or chimpanzee tracking permit guarantees your participation in the tracking experience, but does not guarantee clear or prolonged sightings of the animals.

3.3 Accommodation is twin or double rooms, or tented/banda arrangements as specified. A single supplement is available upon request.

3.4 WildPulse Adventures reserves the right to substitute accommodation with an equivalent or superior alternative if required.

3.5 All vehicles are maintained to ensure roadworthiness. WildPulse Adventures accepts no liability for punctures, mechanical breakdowns, or road conditions that are beyond our control.

3.6 Driver/guides are authorised drivers whose routing and operational decisions are final during the tour.

3.7 Routes may be altered due to road closures, adverse weather, security concerns, or other circumstances outside our control.

3.8 WildPulse Adventures may engage approved subcontractors to deliver certain elements of your itinerary.

3.9 WildPulse Adventures reserves the right to refuse tour participation to any person whose behaviour is deemed dangerous or disruptive to other members of the group. In such cases, no refund will be given.

4. Payment

4.1 A 30% deposit is required to confirm a tour booking. Gorilla and chimpanzee permits require full advance payment as they are purchased immediately on your behalf.

4.2 The balance is due no later than 42 days before the tour start date.

4.3 Bookings made within 42 days of the start date require full payment at the time of confirmation.

4.4 Failure to pay by the due date gives WildPulse Adventures the right to cancel the booking.

4.5 Payment methods accepted: bank transfer, and cash. VISA card payments are accepted with a 5% surcharge and must be made at least 2 months before the tour start date. Traveller's cheques are not accepted.

4.6 All international bank transfer charges and transaction fees are payable by the client.

5. Cancellations & Refunds

5.1 Cancellations must be submitted in writing to WildPulse Adventures. The cancellation is effective on the date the written notice is received.

5.2 The following cancellation charges apply to the basic tour rate:

5.3 Gorilla and chimpanzee permits and air tickets are 100% non-refundable once purchased, regardless of when the cancellation occurs.

5.4 No refunds will be given for unused services, late arrivals, or no-shows.

6. Complaints

6.1 WildPulse Adventures strives to exceed client expectations and actively welcomes feedback as a means of continuous improvement.

6.2 Any complaint arising during your tour should be reported immediately to the WildPulse representative or driver/guide so that we can address it promptly. Complaints not resolved during the tour must be submitted in writing within 30 days of the tour's completion.

6.3 Complaints not reported in accordance with this procedure cannot be accepted for consideration.

7. Liability

7.1 WildPulse Adventures does not have direct control over third-party suppliers and is not liable for errors, omissions, or failures on their part.

7.2 WildPulse Adventures is not liable for loss, damage, or injury to persons or property arising during the tour.

7.3 WildPulse Adventures accepts no responsibility for baggage or personal belongings at any point during the tour.

7.4 WildPulse Adventures is not liable for circumstances beyond its reasonable control, including but not limited to: flight delays or cancellations, war, civil unrest, terrorism, government actions, industrial strikes, epidemics or pandemics, extreme weather, natural disasters, or mechanical failures.

7.5 Travel agents and tour wholesalers acting on behalf of clients are responsible for ensuring that all clients hold valid documentation required for their journey.

7.6 Clients are responsible for taking appropriate health and safety precautions. We strongly recommend seeking medical advice before travelling to East Africa.

7.7 Comprehensive travel insurance is strongly advised for all clients and is considered a prerequisite for safe travel.

7.8 Liability is governed by the laws of the country in which the cause of action arises.

8. Regulatory Compliance & Standards

WildPulse Adventures operates under Ugandan tourism laws and in alignment with the guidelines of the Uganda Tourism Board (UTB). Our operations are founded on principles of responsible tourism, wildlife and environmental conservation, respect for local communities, and the highest standards of client safety.

9. Client Care & Communication

WildPulse Adventures is committed to clear, honest, and timely communication before, during, and after your safari. We encourage all clients to ask questions at any stage of the planning and travel process. Your peace of mind matters to us.
